Integration · Calendly

Calendly schedules appointments. Treffa ensures they are professionally prepared.

Operational Reality

Calendly simplifies appointment booking. A client selects a time, the appointment is confirmed, a calendar invite is sent. What Calendly does not verify: whether the prerequisites for that appointment exist. For professional services where appointments depend on prior documentation, signed agreements, or specific preparation, the confirmed calendar slot does not represent a prepared appointment.

The Structural Gap

Calendly is a scheduling tool. Its scope ends at confirmation. Whether a client has submitted a signed engagement letter, completed an intake questionnaire, or provided necessary documentation before the appointment — Calendly has no mechanism to track or enforce this. The appointment appears as scheduled. Whether it is actually ready to proceed is a separate question, and one Calendly is not designed to answer.

Consequences

Appointments booked without the professional prerequisites needed to conduct them

Consultations begin without signed agreements, required documents, or completed intake

Professional time lost to on-the-spot collection of materials that should have been secured in advance

Manual intervention by staff or the professional to chase prerequisites

No system record of whether an appointment is prepared or not

Structural Solution: Treffa as Preparation Layer

Treffa reads the Calendly calendar via calendar sync and assigns prerequisites to each appointment based on its type. Clients receive structured communication with a clear deadline before the appointment. When prerequisites are not fulfilled, the case is escalated before the appointment takes place. Calendly remains the booking tool. Treffa handles preparation enforcement.

How It Works

Appointment detected via Calendly calendar sync

Prerequisites assigned per appointment type

Structured client communication with prerequisites link — sent via SMS, Email, or WhatsApp

Deadline set before the appointment

Escalation when preparation is incomplete

Clear status before every appointment

For Whom This Is Relevant

Relevant for consultants, advisors, coaches, therapists, and other professionals using Calendly for client booking where at least one appointment type requires prerequisites — signed agreements, intake forms, prior documentation, or specific materials — before the appointment can be conducted substantively.
